The signature feature
The meeting writes its own follow-up. Action items land in your task system before you're back at your desk. Every call transcribed, every action extracted, every priority flagged while the discussion is still fresh. No transcription backlog. No missing follow-ups buried in email three weeks later.
What it does
Automatic call and meeting transcription
Every call and meeting gets transcribed automatically, searchable by keyword, speaker or date. GPU-powered transcription runs in parallel with your work. No post-processing delay.
Action items extracted and routed
The transcript is analysed for decisions, deliverables and next steps. They land as tasks in your existing task system, assigned to the right person, with full context from the call. No manual note-taking. No "I thought you said you'd handle that."
Inbox triage by priority
Every email landing in the shared inbox is scored and flagged by urgency. Anything requiring immediate response rises to the top. Anything that can wait (newsletters, confirmations, low-priority inquiries) stays in the background. Your team focuses on the important stuff first.
Meeting insights and searchability
Search across meetings in plain English: "Show me every call where we discussed pricing" or "Who was on the call about the depot expansion?" Minutes are synthesised from transcripts, not written by hand.
What it looks like in your business
You're in a 30-minute call with a client discussing a custom build scope. Notes get chaotic. You're concentrating on the conversation, not the keyboard. Twenty minutes in, three action items crystallise: a scope doc to send, a budget approval to chase, a timeline to confirm with the engineer.
The call ends. You don't write a follow-up. You don't chase your notes. By the time you're back at your desk, the three items are already in your task system, assigned to you and the engineer, with the exact wording from the call attached. You check the task app. Everything is there. No conversation, no email delay, no "What did we actually agree to?"
Later that week, someone asks "Did we decide on the contingency margin for that job?" You search the meeting records in plain English. The system shows you the exact minute of the call where it was discussed, the transcript excerpt, and what was decided.
How we build it
Audit. Map your current meeting and comms flow: where calls happen (Teams, Zoom, in-person phone), where follow-ups go, what gets lost in translation between the call and the task system.
Architect. Design a transcription and extraction pipeline: which tools integrate with your call platform, where action items land, how priority rules work for your inbox. Everything mapped before we write the first line of code.
Deploy. Wire up auto-transcription to your call platform, train the extraction system on your specific terminology and workflows, connect it to your task system and email. Test with real calls and iterate until it's working.
Optimise. Monthly tuning of the extraction rules as your team's language evolves. Refine priority rules for inbox triage. Add new integrations if your comms stack changes.

FAQ
How is this different from Otter.ai or Fireflies?
Those tools transcribe and store. We go further: we extract action items into your own task system, integrate with your existing workflows, and triage your comms by actual urgency. The transcript is useful, but the extracted action is the point. It's the difference between recording a meeting and making sure the meeting's outcome actually happens.
What happens if a call is too noisy or low quality?
Transcription quality depends on audio clarity, just like any human would. Crystal-clear calls transcribe perfectly. Very noisy or heavily accented calls sometimes need manual cleanup. We build fallback workflows: if confidence drops below a threshold, a human gets flagged to review before it lands in your task system. Nothing risky gets automated away.
Can you integrate this with our phone system or existing CRM?
Yes. We map your call platform (Teams, Zoom, in-person phone, GoHighLevel, custom PBX) and send transcripts and actions to whatever task system you use (Asana, Monday, EverSense, Jira, email). No rip-and-replace. If your system is worth integrating, we do it.
Who gets access to the transcripts and action items?
You do. Transcripts stay on your infrastructure or a secure vault you control. No recordings leak into a third-party SaaS where some other business might have access. Permissions are yours to set.
How long before the action items are ready after a call ends?
Action items are extracted and routed while transcription is still in progress, so your team has context ready immediately after the call ends. Nothing waits for a batch job at midnight. The whole point is the outcome lands while the call is still fresh in everyone's mind.
